The Schedule Columns:

The schedule screen presents a table of times, in 10 minute increments, for a particular room on a particular date. The top line on the schedule screen displays the currently selected day, date, room and client.

The schedule table of times appears on the left and center of the screen. The columns are as follows :

1. First Column: "P"

The "P" stands for "Processed". A check mark appears in this column if you have processed a client for billing. This occurs when you enter the quick claim screen and enter service and diagnostic codes for the client's visit.

2. Second Column: "Time/d"

This column contains the schedule times in 10 minute increments. The "/d" signifies that you can double book a line by double clicking in this column.   A double booked line appears with a light teal background.

3. Third Column: "Provider"

This column contains the name of the provider to whom a client is assigned. You can change providers by simply selecting a different provider on the right-hand part of the screen.

4. Fourth Column: "?"

The question mark column plays a special role. Double click this column next to a client name and a window containing the client's information pops up.

This pop-up is useful for a quick look-up or edit of a client's demographics. You can also view a client's previous appointments from this screen. See the section on client recall.

5. Fifth Column: "Client/q"

You can enter clients into the schedule in two ways: 1) click on a client cell for a particular time and then click the ADD CLIENT button on the lower right hand of the screen, or 2) simply double click on the appropriate client cell. Doing this will automatically select one unit for the client. If you wish to add units to the appointment, simply select the number of units you desire on the right hand part of the screen before you enter the client into the schedule, or double click on any unused cell directly below the client after you have entered the client.

Clients with one unit which have been previously entered into the schedule appear with black on white background.  Clients with more than one unit which have been previously entered into the schedule or clients who were previous no-shows appear in black on peach. This signifgies that they need to be called and reminded of their appointment.  The currently selected client appears in blue on white.

If a client fails to show for an appointment, you may click on the row containing the client appointment and then click on the NO SHOW button on the right lower portion of the screen. This will create a new open line available for new appointments, and it will turn the client's line to a dark gray background to signify that they were a no-show.

The "/q" signifies that you can enter the Quick Claims screen by double clicking on the client's name.  The quick claim screen allows you to quickly enter encounter information for a client.

Note: When you attempt to enter a client into the schedule who was a no-show on their last appointment you will receive a warning indicating that fact. Once entered, this client will appear in black on peach indicating that they should receive a reminder call before their next visit.

6. Sixth Column: "C"

This column is used to track phone calls to clients. The schedule selects clients with more than one unit booked, or clients who were a no-show on the previous appointment, to highlight in blue on white. These colors identify those clients who should be given a call reminding them of their appointment. You can confirm that the call has been made by double clicking on this column.

7. Seventh Column: "V"

This column is for tracking OHIP card verifications. The column can contain three colours: 1) Light Gray signifies that the client's OHIP card has not been verified, 2) Red signifies that the client's OHIP card has been manually inspected and verified, and 3) Teal signifies that the OHIP card has been swiped through and verified by the card reader.

The column will turn red if you double click on it. Do this if you have manually inspected and verified the client's health card. The column will turn teal if you run the client's card through the card swipe and accept the data appearing in the card swipe window:

8. Eighth Column: "R"

Double click this cell if you want the doctor to be reminded, by way of the note attached to the client, of this client's appointment for two weeks prior to the appointment.

9. Ninth Column: "Notes"

To add a note to your appointment simply type in a note in the notes field on the right of the screen and then either click the NOTE button or double click on the note cell. You can also select a note from your note list by clicking on the down arrow next to the note field.
